Airfare Booking Tool – Advisor Terms & Conditions

By accessing or using the agency’s airfare booking tool (“Tool”), you agree to the following terms:

1. Authorized Use
   The Tool is provided solely for authorized advisors booking airfare for agency clients. Advisors may not use the Tool for personal travel, speculative bookings, or any purpose that violates airline or agency policies.
2. Advisor Responsibility
   Advisors are solely responsible for the accuracy of all passenger information, travel details, fare selections, and ticketing instructions entered into the Tool. The agency is not responsible for errors made by the advisor.
3. Pricing & Availability
   Airfare pricing and availability are subject to change at any time until tickets are issued. The agency does not guarantee fares or inventory displayed in the Tool until the booking has been successfully ticketed.
4. Fare Rules & Airline Policies
   All bookings are subject to airline fare rules, conditions, and restrictions, including change, cancellation, and refund policies. Advisors are responsible for reviewing and communicating these rules to clients prior to ticketing.
5. Ticketing & Deadlines
   Advisors are responsible for ensuring tickets are issued before airline ticketing deadlines. The agency is not liable for expired reservations, fare increases, or lost inventory due to failure to ticket on time.
6. Debit Memos (ADMs) & Airline Penalties
   Advisors agree to be financially responsible for any airline debit memos (ADMs), penalties, or charges resulting from booking errors, policy violations, misuse of fares, duplicate bookings, fictitious bookings, or failure to follow airline rules.
7. Booking Misuse
   Prohibited activities include, but are not limited to, hidden-city ticketing, speculative bookings, duplicate reservations, holding space without intent to ticket, or any activity that violates airline or GDS policies.
8. Fraud & Payment Misuse
   Advisors are responsible for verifying the legitimacy of all client payment methods used for airfare purchases. The use of fraudulent, unauthorized, or disputed payment methods is strictly prohibited. Advisors may be held financially responsible for any losses, chargebacks, penalties, or fees incurred by the agency as a result of fraudulent transactions, payment disputes, or misuse of client payment information.
9. Client Payments & Chargebacks
   Advisors are responsible for ensuring valid client payment and for resolving any client disputes or chargebacks related to airfare bookings.
10. Fees
    The agency may charge service, ticketing, exchange, or refund fees. Advisors are responsible for communicating applicable fees to clients.
11. Errors & Irregularities
    Advisors must promptly report any booking errors or ticketing issues. Advisors may be responsible for any costs incurred due to avoidable errors or delays in reporting.
12. Access & Enforcement
    The agency may suspend or revoke access to the Tool at any time for misuse, policy violations, or failure to comply with these terms.
13. Limitation of Liability
    The agency acts solely as an intermediary between advisors and airlines and is not responsible for airline schedule changes, cancellations, delays, or other operational issues.
14. Acceptance
    Use of the Tool constitutes acceptance of these Terms & Conditions.
